communities nationwide. As we enhance our operations and reach, we are seeking
a highly motivated and experienced Operations Manager to join our team. This
key leadership position will play a pivotal role in optimizing our business
processes, enhancing operational efficiency, and ensuring seamless execution of
all activities within the organization. This position is based in Washington,
D.C.
Position Overview:
As the Operations Manager, you will be responsible for
overseeing and coordinating all operational aspects of the company. You will
collaborate with TFG management and staff to streamline workflows, improve
productivity, and maintain exceptional levels of customer satisfaction. Your
ability to strategize, lead cross-functional teams, and drive operational
excellence will be critical to the success of our company's growth and overall
success.
Key Responsibilities:
- Operational Leadership: Provide
leadership and strategic direction to the TFG team. Implement best practices
for professional services firms, develop SOPs (Standard Operating Procedures),
and establish performance metrics to optimize overall operational efficiency.
- Cross-Functional Collaboration: Foster
strong working relationships with the advocacy, grants, and administrative
teams. Collaborate to align business objectives, resolve bottlenecks, and
ensure communication among the teams.
- Process Improvement: Identify
opportunities for process optimization and implement efficient workflows to
enhance productivity and reduce operational costs. Continuously monitor,
analyze, and enhance existing processes to maintain a competitive edge.
- Quality Control: Maintain rigorous
quality control standards throughout the organization. Ensure compliance with
industry regulations and certifications, as well as internal quality
guidelines.
- Resource Management: Effectively allocate
resources to meet project deadlines and operational targets. Manage staffing
requirements, oversee training initiatives, and cultivate a positive work
environment to foster employee growth and job satisfaction.
- Human Resources: In conjunction with the
Management Committee and outsourced HR team at Inova, manage the HR function
including handling employee-related matters in the workplace from recruitment
and performance to compensation and career development. Recruit and staff all open positions, set
budgets, negotiate compensation and benefits.
Manage and resolve employee conflicts and disciplinary actions. Manage employee performance, working with
other firm partners and managers by setting goals for employees, evaluating their
performance, and providing feedback and guidance.
- Accounting: Responsible for general oversight of the
financial management of the organization in conjunction with the Management
Committee. Monitor certain financial transactions (invoice approval and
payment, payroll, check runs, tracking financial health indicators, budget, and
business metrics). Work with the Management Committee and the Controller in the
formulation of comprehensive financial policy for the business to ensure the
financial health of the firm. Work in
conjunction with the Controller to ensure day-to-day operations and overall
financial management function smoothly, ensuring data is accurate and reliable.
- Performance Metrics: Develop and track
key performance indicators (KPIs), objectives and key results (OKRs) and similar
metrics to evaluate individual and team operational performance. Regularly
report on progress to TFG management and suggest corrective actions as needed.
- Risk Management: Identify potential risks
and implement appropriate mitigation strategies to safeguard the organization's
operations, assets, and reputation.
- Budget Oversight: Collaborate with TFG
management to create, manage, and adhere to operational budgets. Monitor
expenses and implement cost-saving measures while maintaining the highest
standards of quality.
- Contract Management: Responsible for
supervising the client and vendor contracts for the firm. Prepare and analyze
client contracts. Negotiate vendor
contracts, including annual benefit contracts. Must have in-depth knowledge of
contract features, understand the advantages and pitfalls of contracts and be
familiar with a plethora of contract details.
- Relationships: Build and maintain
relationships with vendors, clients, and other business connections; maintain
contract-related documents, correspondence and firm contract database; present
contract information to Management Committee for review; keep track of
contracts and extending, renewing, or closing them out; stay informed about
changes to relevant rules and regulations.
- Continuous Improvement: Encourage a
culture of continuous improvement, innovation, and learning amongst the TFG
team. Explore new technologies or methodologies to enhance operational
efficiency.
- Other duties as assigned.
Qualifications and Requirements:
- Bachelor's degree in Business Administration,
Operations Management, or a related field. A Master's degree is preferred but
not mandatory.
- Proven track record of at least five years of
successful experience in operations management or a related role in a firm with
total annual revenues of $5 million or more.
- Strong leadership and team management skills
with the ability to inspire and motivate team members.
- Excellent analytical and problem-solving
abilities with a data-driven approach.
- Demonstrated experience in process optimization,
quality control, and project management.
- Knowledge of industry-specific regulations,
compliance standards, and professional services best practices.
- Exceptional communication and interpersonal
skills to collaborate effectively with cross-functional teams and stakeholders.
- Proficiency in using relevant software and tools
for operations management and analysis.
- Adaptability and flexibility to thrive in a
fast-paced and dynamic work environment.
- Basic knowledge of HR practices and accounting
processes is preferred.
